The Problem
The Regional Project Engineering (RPE) division of Novartis Pharmaceuticals manages the construction of all U.S. Novartis facilities. There are many contractors and vendors such as Architectural firms and construction companies who are a part of the design and build projects. As result, many teams of people need to gain access to project information during all phases: Design, Bid & Construction. The various vendor/contractor companies and RPE team found it difficult and time consuming to send files back and forth via email and overnight delivery. There was redundancy in the files that were being sent and project information was not collected in a central location. Overall, collaboration during the design process needed to be improved and there needed to be a way it could be implemented for all parties involved.


The Solution
AMS was already working with the Novartis RPE corporate office supporting their CADD Network, AutoCAD Workstations, CADD Users and Engineering Document Management (EDM) System. Based on our experience with web-based project collaboration sites, AMS offered consulting services to help solve the problem. AMS helped implement ProjectPoint, an Internet-based high security project web site software from Buzzsaw.com. ProjectPoint lets RPE store and share all of their project drawings and documents in a central, secure location. The extended project team can access vital project files anywhere, anytime. RPE can host multiple projects and add project members and permission levels to each one with easy administration. Also, file activity can automatically notify team members of new updates and uploads. A site camera can even provide live video of construction over the Internet. ProjectPoint is a great solution since it provides easy integration into the web browser environment and is easy to use and learn.


The Benefit
RPE was able to quickly put together over a dozen ongoing projects on the Internet with over a hundred users and set permissions accordingly. Now ongoing project activity is uploaded by RPE vendors and contractors to a central location securely over the Internet for RPE project managers to gain access to. The RPE CADD Manager administers the site and a user’s manual was uploaded to the site for easy access. The 128-bit encryption transfer and password-protected login also met the legal requirements for confidential information. The collaboration of the ongoing development of files created during the design process was significantly improved.
