Unlocking the Power of Chargebacks for Department Right-Sizing
This webinar took place on April 8, 2009 Contact us for more information.

Join AMS CAD + CAFM Solutions on Wednesday, April 8 at 1pm for the next installment of our ongoing AMS Educational Webinar Series. This event will focus on best practices for using chargebacks in a CAFM system to optimize space utilization.

In this current economic climate it is now more important than ever to be able to quickly analyze what, after payroll, is typically the most expensive cost to an organization…facilities. See how AMS has helped dozens of clients migrate from a manual, time consuming process to an automated, integrated process that provides instantaneous, real-time departmental allocations. Review the factors involved in calculating the numbers from initial space boundaries and proration classification to department assignment and split spaces. Learn how to leverage the CAFM data to help make lines of business accountable for the space they use - even file space!

With the numbers in place, advanced chargeback reports can be created which can include prorated shared space, show actual occupant names, and calculate costs for rent, utilities, security, and other operating expenses. Don’t make assumptions about how much vacant space is available and/or idle – use CAFM to capture and report on hard numbers that will encourage departments to utilize their space more efficiently.

Developing, Implementing and Maintaining CAD and CAFM Standards

This webinar took place on November 19, 2008. Contact us for more information.

Developing and implementing strong CAD and CAFM standards as part of an overall CAFM Implementation results in significant time and cost savings down the road. Even if these were not developed as part of your initial implementation, going back and creating standards now will result in these savings in the future.

This session will provide an overview of developing and maintaining important CAD and CAFM standards to help make your business processes more efficient. It will include discussions of benefits and measurable cost savings that will be achieved in future work. These cost savings begin immediately after the standards are put in place and enforced.

Various industry standards will be discussed such as BOMA, IFMA, FICM and The National CAD Standards, along with a focus on such items as:

  • Room Measurement (Polylining) Standards
  • Real Estate Standards
  • Space Types & Classifications
  • Space Standards/Entitlements
  • Space Assignments
  • Occupancy & Vacancies
  • Drawing Management Procedures
  • Move/Add/Change (MAC) Processes
  • CAD Layer Standards

Benchmarking with a CAFM Tool

The ability to provide senior management with reports relative to how the company compares to industry benchmarks can be a valuable tool for any facility manager. This session provides insight into how the data that is collected in a CAFM solution can be utilized to produce reports that coincide with IFMA benchmarking data. This data can include vacancy/occupancy, average square feet per person, move costs, and churn rates and can be shown in graphical or tabular format utilizing CAD drawings and reporting tools such as Crystal Reports respectively.

10 Things to Consider When Implementing a CAFM System

This webinar took place on July 16, 2008. Contact us for more information.

When determining a CAFM/IWMS solution, there are a number of considerations that must be addressed to ensure you are choosing the best solution for your needs. It is essential that you understand what you want and need from the system, who the stakeholders are, and what is involved with implementing and maintaining the solution.

During this session you will learn a few benefits and tasks associated with each topic below and how customers have successfully utilized this approach.

  1. Establish Project Team and Goals
  2. Receive Buy-in From Upper Management
  3. Include IT Early
  4. “Invite” All Stakeholders
  5. Establish Project Plan/Schedule
  6. Determine Data Sources
  7. Establish Standards
  8. Establish Training Program
  9. Establish How System Will Be Maintained
  10. Evaluate System Periodically

Harmonization - Consolidating Multiple Products and Standards

For various reasons, many companies have multiple CAFM Systems implemented within their organization. The reasons can range from a global corporation that has accumulated multiple CAFM systems due to mergers and acquisitions, to the smaller company using home grown solutions that has experienced tremendous growth more quickly than the solutions can be adapted to. Regardless of how this situation occurred, the results are often the same: islands of similar information, with different standards, processes, and uses that cannot be easily consolidated and shared. As senior management reviews ways to be more cost effective and efficient, the benefits of implementing a corporate wide, integrated, single solution becomes a priority.

This session will provide insight into how a global pharmaceutical company consolidated various CAFM products and developed standards across various lines of business, including Research, Pharma and Corporate, yet still tailored the implementation to meet the needs of everyone within one solution.

The Benefits of Implementing a CAFM Solution

This session will provide insight into the benefits of implementing a CAFM solution. A recent report by the Aberdeen Group will be referenced to show how “Best In Class” companies are utilizing technology to manage their facilities. Case studies will be discussed showing the return achieved by key companies.

Utilizing a CAFM System in the Pharmaceutical Industry

This session will provide an overview of how various pharmaceutical companies such as Wyeth, Novartis and Bayer HealthCare are utilizing CAFM solutions to manage their space. Included will be a discussion on how linear feet of lab bench space can be tracked by department or personnel.

Utilizing a CAFM System in the Healthcare Industry

This session will provide an overview of how a CAFM system can be utilized to assist with the required reporting for JCAHO and Medicare/Medicaid, as a supplement to the space and move management capabilities.

Unanticipated Uses of a CAFM System

This session will provide an overview of some additional uses that have been developed when managing the data within a CAFM solution. Data to determine cleaning contracts (cleaning square footage, type and amount of materials to be cleaned), evacuation plans, and signage information (where, how many, type) are among the additional uses. When utilizing this type of information, the following results can be achieved:

  • Accurate cleaning contract bids
  • Efficient signage changes (logo changes, mergers, lighting)

Manage Your Assets More Efficiently

This session will provide an overview of how a bar code solution can be integrated with Asset management in order to track furniture, fixtures and equipment (FF&E) more efficiently. Included is a demonstration of AMS’ Quickscan Bar-Coding Add-on for Asset Management. This solution utilizes a PocketPC with a Socket bar code reader that is fully integrated with FM:Interact

Chargebacks - Manual to Automated and the Benefits

Many companies still utilize a manual process to calculate rent chargebacks, which includes the periodic gathering of data via walkthroughs, highlighting of printed drawings, and developing an associated spreadsheet. This is a very time consuming process with no link between drawings and data.

This session will provide insight into how you can take a manual chargeback process and turn it into an automated one utilizing a CAFM system, saving time, effort and dollars. The benefits of incorporating a chargeback system if not currently utilized will be discussed, as well as integrating with the financial system to produce actual chargebacks.

Managing a Real Estate Portfolio

Building Owners, Property Managers, and Landlords all need access to information in regards to the amount of space they own and lease. Data such as what tenants occupy what space, what type of space it is (retail, office, commercial), and how much space they occupy are all critical pieces of data.

This session will provide an overview of managing a real estate portfolio using a CAFM solution.

CAFM - A Living, Breathing Solution

The initial implementation of a CAFM system is typically only the starting point. Once the initial core system has been developed, there are other capabilities that are initiated and other organizations that benefit from it as well.

This session will provide insight into how a CAFM solution can evolve over time after the initial implementation (startup package) has been completed. Examples of how companies have phased their implementation and piloted it to incorporate user feedback, making it a more desired tool will be discussed. Examples of how other lines of business end up utilizing to the solution after hearing about its capabilities will also be discussed.
